Booking Terms and Conditions

Estimated costs are based on the Travel Date shown at the top of your itinerary and are subject to the availability of the accommodation and other services specified.

Travelplanz retains the right to adjust prices up or down based on services actually received.


Costs are all in New Zealand Dollars and include New Zealand GST currently set at 15%

ESTIMATE ONLY. NO RESERVATIONS ARE HELD. Subject to availability of the services specified in the itinerary when travel dates are set. All touring is subject to favourable weather, road, flying and sea conditions.  Additional surcharges may be applicable during Special Events and/or statutory public holidays, e.g. Christmas, Easter etc.  Any additional surcharges will be advised at the time of the booking.   Costs are subject to increase should any government taxes or levies be increased or introduced.

Deposit & payment:

  • A deposit of $NZ500.00 per person is required to make your booking.  This amount is non-refundable after 7 days of receiving your confirmed itinerary and final confirmation invoice.
  • Full pre-payment is due 60 days prior to arrival in New Zealand. 

Bank account details and swift code for international telegraphic transfers will be on the invoice.  Payment by Visa or Mastercard is also accepted at a 3% surcharge.  Credit card payments may only be made in New Zealand Dollars.

Occasionally due to special event surcharges or supplier requirements etc, deposits or full payment will be required – you will be advised of this at the time of confirmation.

The first amendment made to a confirmed booking is free of charge. Any subsequent amendments made to the same booking will incur a NZ$50.00 fee per service already confirmed.

In the event of passengers cancelling their booking for any reason, the following cancellation fees will apply on a per person basis (not per booking).

  • 60+ days prior to the client’s arrival, loss of non-refundable deposit, plus any additional supplier cancellation charges
  • 31 to 59 days prior to arrival: 50% cancellation fee, plus any additional supplier cancellation charges
  • 30 days or less prior to arrival: 100% cancellation fee

No refunds on any unused portions of any itinerary (unless service cancelled by operator due to weather conditions etc)
                Comprehensive travel insurance is strongly recommended for all travellers

Compliance with immigration, customs and / or quarantine regulations is not our responsibility. We will not accept any liability or responsibility under any circumstances, if applicable rules and regulations are not observed. 

Check in time at most hotels is 2pm or 3pm.  If you are arriving earlier, the hotel will store your luggage until your room is ready.  Alternatively, you may wish to pre register your hotel room for immediate check in – an extra nights’ charge will apply.  Upon check in, most hotels will request an imprint of your credit card to cover any personal extras.  If you do not have a credit card they may ask for a cash deposit. 
All accommodation is automatically reserved as ‘non-smoking’ as properties are now designated smoke-free.  Please advise if you require smoking facilities so you can be advised of the properties’ policy and ashtrays/smoking areas can be arranged outside the room where available.

When travelling by self drive rental vehicle you will need to give a credit card Security Bond at the time the vehicle is collected (NZ$150.00), which is voided if the vehicle is returned undamaged, on time to the pre-arranged depot with a full tank of fuel. Additional insurances are available – please discuss with rental company when hire is initiated.
Budget Rentals have a standard excess of NZ$3000.00 + GST for which the hirer is responsible for vehicle damage regardless of who is at fault. This excess liability can be reduced to NZ$225.00 + GST by payment of an additional NZ$25.00 + GST of hire a day direct to Budget Rentals on collection
A more cost effective method of paying for this is through a UK insurance company offering excess cover, such as www.insurance4carhire.com.
Drivers will be required to present a full and valid driver’s licence in English

Driver Licence/ Minimum Age
All drivers must be 21 years old or over and hold a current non-probationary drivers licence (with an English translation shown on the licence) from their home country.  If you have an international driver’s permit this must be accompanied by your home country licence.  There is no charge for additional drivers and there is no maximum age.  You must carry your driver’s license with you whenever you are driving in New Zealand
GPS units are now available with rental vehicles at extra cost – recommend pre-booking. Pay direct.  We are pleased to reserve these if requested - but the customer must pay for the unit hire direct to Budget Rentals at the time of collection.  Costs are NZ$11.45 per day, or NZ$57.45 per week, or NZ$114.95 per month incl GST.  If a customer returns a unit to a location that is not the same city as it was hired and that depot is not one of the GPS participating depots, a one way fee of NZ$56.25 incl GST will be charged.  Where continuous multiple hires are involved, the customer is to take the unit with him/her to use with the second vehicle.  Where hires are not continuous the unit must be returned and a new unit hired at the start of the next rental period - a one way fee applies to each hire where applicable.
